Privacy & Cookies Policy

Version 1.0 — 8 September 2026

This policy explains what personal information we collect, why we collect it, what we do with it, and the rights you have over it. It covers this website and our work as a film production company.

1. Who we are

Estate Cinematics is a trading name of Shulis Cut Ltd, a company registered in England and Wales under company number 15103282, whose registered office is at 5 North End Road, London, England, NW11 7RJ.

We are the data controller for the information described in this policy.

Contact: info@estatecinematics.com

2. Information we collect

When you contact us. Through the enquiry form on this site: your name, email address, the type of space you are enquiring about, information about your brand, and your project objective. If you email or call us instead, we hold whatever you choose to tell us.

When we work together. Contact details for you and the people we deal with on your project, the address and details of the locations we film, project correspondence, and the information needed to invoice you and keep proper accounting records.

When you book a call. Our contact page can direct you to a third-party scheduling service to book a call. That service collects your name, email and chosen time under its own privacy policy.

When we film. Footage and audio of the locations we film and of people who appear in it. This is personal data about those individuals. Section 4 explains how we handle it.

When you visit this site. Our hosting and security providers automatically record technical information — IP address, browser type, device, the pages requested and the time of the request. This is used to serve the site, deliver video, and protect against abuse. We do not use analytics software and we do not build a profile of you.

We also look at the reports Google provides about how people find us in search results — search terms, and numbers of clicks and impressions. These are counts and averages compiled by Google from its own search data. They do not identify you, and nothing is placed on your device for this.

We do not knowingly collect information from children through this website, and we do not collect special category data (health, religion, biometrics and similar) except where it is unavoidably visible in footage taken at a location with the appropriate consents in place.

3. Why we use it, and our lawful basis

What we use it forLawful basis
Responding to your enquiry and preparing a quotationTaking steps at your request before entering a contract
Delivering a commissioned projectPerformance of our contract with you
Invoicing, accounting and tax recordsLegal obligation
Showing our finished work in our portfolio, showreel, website, social channels and new business materialsOur legitimate interests in demonstrating the standard of our work and winning new work. This is our own basis as an independent controller and does not depend on consent obtained by anyone else. Anyone appearing may object at any time under section 8, and we will stop using the material that shows them
Sending occasional emails about our work to existing and prospective clientsConsent, or our legitimate interest where you are an existing client and we are contacting you about similar services. You can opt out at any time
Keeping the website available and protecting it from abuse and spamOur legitimate interest in operating a secure site
Handling a complaint, dispute or insurance matterOur legitimate interest in defending our position, or a legal obligation

Where we rely on legitimate interests, we have considered whether our interest is overridden by your rights. You can object at any time — see section 8.

4. Filming and the people who appear on camera

Filming necessarily records identifiable people. We take this seriously, particularly on projects involving schools, care settings and community organisations.

  • Before a shoot, our client is responsible for obtaining the consent of anyone who will appear, and for obtaining it from a parent, guardian or authorised representative where the person is a child or may lack capacity to give it themselves. We ask for this before we film.
  • We will not film anyone who has indicated they do not wish to be filmed.
  • If someone withdraws consent before the film is approved, we will remove them from the edit. Once a film has been delivered and published, removal may not be possible, but we will discuss what can reasonably be done and will stop using that material in our own marketing.
  • If you appear in one of our films and would prefer not to be in material we use to promote our own business, email info@estatecinematics.com telling us which film and roughly where you appear. We will remove the material that shows you from our own channels. We do not need a reason and we will not ask for one. Where the film has already been supplied to our client and published on their channels, we can only control our own copies, and we will tell you who to contact about theirs.

5. Who we share it with

We do not sell your information. We share it only with the following:

RecipientWhat they handle
WebflowHosts this website and receives enquiry form submissions
CloudflareContent delivery, and the security and anti-spam checks that protect this site
Bunny.netDelivers the video on this site
GoogleServes the web fonts and one code library used by this site, which means your IP address reaches Google when a page loads. No cookies are set and no analytics are run
MicrosoftOur business email
Our email marketing providerHolds the mailing list, if you have subscribed
Our scheduling providerHandles call bookings made from our contact page
Crew and specialistsCamera operators, drone pilots, editors, colourists and similar, where a project requires them. They are bound to confidentiality
Our accountant, and our insurers or advisersWhere needed for accounts, a claim or legal advice

We will also disclose information where we are required to by law.

6. Sending information outside the UK

Some of the providers above are based outside the United Kingdom, mainly in the United States and the European Economic Area. Where information is transferred outside the UK, we rely on the UK Government's adequacy regulations where they apply, or on the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, which are the safeguards recognised under UK data protection law.

7. How long we keep it

We keep personal information only for as long as we need it for the purpose we collected it for, and then delete it.

  • Enquiries that do not become projects — deleted once we no longer need them.
  • Client and project records — kept while we are working together and for a period afterwards, so we can answer questions about work we have done for you.
  • Invoices and accounting records — six years from the end of the relevant financial year, because the law requires it.
  • Footage from a shoot — kept for as long as we need it for the project. Delivered films are kept indefinitely as part of our portfolio and archive.
  • Mailing list details — until you unsubscribe.
  • Website security logs — held by our hosting and security providers under their own retention periods, normally no more than 30 days.

If you want to know how long we are holding something in particular, ask us and we will tell you.

8. Your rights

Under UK data protection law you have the right to:

  • be told how we use your information — this policy
  • access a copy of the information we hold about you
  • have it corrected if it is wrong or incomplete
  • have it deleted, where there is no good reason for us to continue holding it
  • restrict how we use it while a concern is being resolved
  • object to our use of it where we rely on legitimate interests, including for marketing — if you object to marketing, we will always stop
  • portability — receive certain information in a machine-readable format
  • withdraw consent at any time, where we relied on consent

To exercise any of these, email info@estatecinematics.com. We will respond within one month. There is no charge.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office — ico.org.uk, or 0303 123 1113. We would rather hear from you first.

9. Security

We hold information on password-protected accounts and encrypted storage, and we limit access to those who need it. Footage is stored on encrypted drives and cloud storage. No transmission over the internet is completely secure, but we take reasonable steps to protect what we hold and to restore it if something goes wrong.

10. Cookies and similar technologies

A cookie is a small file a website stores on your device. This site uses very few, and none of them track you.

We do not use analytics, advertising, marketing or tracking cookies. We do not use Google Analytics. We do not run advertising pixels. We do not build a profile of your browsing.

Almost everything set by this site is either strictly necessary for it to work or necessary to keep it secure, and for those we are not required to ask your consent. Because we use no analytics, advertising, marketing or tracking cookies, you will not see a banner asking you to accept tracking.

Controlling cookies. You can block or delete cookies through your browser settings. Blocking the cookies listed above may stop parts of this site working properly, including the contact form.

11. Changes to this policy

We may update this policy. The version published on this page is the one that applies, and the date at the top shows when it last changed.
